The Tamar Bridge & Torpoint Ferry Joint Committee ("TB&TFJC") on behalf of Plymouth City Council and Cornwall County Council is committed to ensuring that the privacy of all visitors to www.tamarcrossings.org.uk , www.tamarbridge.org.uk and www.torpointferry.org.uk ("the Websites") and all users of the Tamar Tag Scheme is protected. This Privacy Policy ("Privacy Policy") explains how we collect, use and protect the information you provide to us.

1. The information we collect and how we use it

1.1 Information provided by you

When you register a comment on our website, fill in a feedback form or questionnaire, request information from the TB&TFJC, or contact us for any promotion that TB&TFJC may run, you will be asked to provide personal information such as your name, address and other contact details. You may also be asked for further information on other topics. Where you fill in a form or questionnaire, the form will contain a notice to inform you why TB&TFJC is requesting the information and any uses TB&TFJC will make of the information.

The TB&TFJC may also wish to provide you with information about special features, promotions, or offers through the website or other services or products which we think may be of interest to you. To be able to tailor such information to your particular needs and interests, we may also ask for your company position, where applicable, and the type of vehicle you drive.

We may also want to provide you with related information from third parties, or to provide your information to carefully selected third parties whose products or services we believe may be of interest to you. 1.2 The Tamar Tag Scheme

When you apply to receive a Tag (either on-line, or on TB&TFJC's standard Tag application form) we need to know your name, postal address, e-mail address (if relevant), your bank details, details of the vehicle for which the tag is to be mounted and, where appropriate, details of state benefits if this relates to entitlement to travel benefits. We may also require a photograph from you.

We will use this data for:

Processing your application for a Tag;

Administering your Tag account;

Giving you access to your on-line Tag account statement;

Photographic identification where appropriate to your entitlement to travel benefits

Communicating with you in relation to your Tag account, any promotions you participate in, your use of our website and any enquiries or comments made by you; and

Providing you with information/newsletters/updates about the TB&TFJC Toll.

1.3 Automatic Collection of Information

The TB&TFJC automatically receives and records information contained in your internet browser - the information recorded includes your internet protocol (IP) address and your use of the Websites.

The TB&TFJC uses internet cookies to collect unique visitor statistics - the cookies may collect your IP address and information regarding the pages that you visited on the Websites.

2. Use of Your Information

2.1 The information relating to your Tag application or account shall be used by TB&TFJC in accordance with clause 1.2 above.

2.2 Any information provided to us in response to feedback forms or questionnaires or a request for further information may be used by the TB&TFJC in order to contact you or to follow up any queries.

2.3 Any personal information provided to the TB&TFJC may be used to assist in understanding your needs and interests and may be analysed in order to improve and develop the Websites and any service provided by the TB&TFJC.

2.4 In the event that the TB&TFJC wishes to use your information for any other purpose than those stated at the time of collection, the TB&TFJC shall inform you of the new purpose.

2.5 The TB&TFJC may use the personal information that you have provided to produce reports in order to improve services and that may be disclosed to the relevant authorities for the purposes of traffic planning. These reports shall be completely anonymous and therefore shall not contain any personal data

2.5 The TB&TFJC may use agents or subcontractors to administer the Tag Scheme. In the event that this was necessary, the TB&TFJC shall ensure that the agents or subcontractors are aware of the obligations under the Data Protection Act 1998 and the Privacy Policy.

2.6 In the event that the TB&TFJC transfers management of the Websites to a third party, you agree that your information can be transferred to that third party. The TB&TFJC will ensure that any third party managing the Websites will observe the obligations under the Data Protection Act 1998 and the Privacy Policy.

2.7 The TB&TFJC will only retain your personal information for as long as necessary to fulfil the purpose for which it was collected. Once the purpose is fulfilled, your personal data will be destroyed and disposed of in a secure manner.

2.8 The TB&TFJC will not provide your personal data to any third party without your consent.

2.9 If you no longer consent to the processing of your personal data, please notify the TB&TFJC.

3. How we protect your information

3.1 The internet is not a secure medium. Any information sent to the Websites via email will not be sent using a secure transmission method. It is important that you are aware that any information sent via the internet can be intercepted or lost and may be read by others.

3.2 The TB&TFJC has installed a mechanism that uses digital server identities so that you can be sure that you are accessing your account on the TB&TFJC web site. You will be able to access your account on our website only using your username and password, which is provided to you by the TB&TFJC. TB&TFJC's servers are located in a secure location which can only be accessed by authorised personnel. Except as agreed, we also keep your information confidential.

3.3 The TB&TFJC has put into place the appropriate technological procedures and practices to protect the information which is being collected using the Website.

3.4 The TB&TFJC has ensured that all members of staff or agents processing personal data are aware of their obligations under the Data Protection Act 1998 and the Privacy Policy.

4. Updating your details

If any of the information that you have provided to TB&TFJC changes, please let us know by completing our contact form, or by contacting us on the telephone number or postal address set out at paragraph 7, below.

5. Your consent

By submitting your information, you consent to the use of that information as set out in this Privacy Policy. If we change our Privacy Policy we will post the changes on this page, and may place notices on other pages of the Websites, so that you may be aware of the information we collect and how we use it at all times. We will also e-mail you should we make any changes to the way that we use your information, so that you may consent to such change. Continued use of the service will signify that you agree to any such changes.

6. Offensive Material and Crime Prevention

6.1 You are not permitted to post or send any offensive material or inappropriate material or information to the Websites. In the event that you breach this clause 6.1, the TB&TFJC may use your personal information to take action against you to prevent further breaches of this clause.

6.2 The TB&TFJC has systems in place to protect itself, the Community, and users of the Websites against fraud and other crimes. The TB&TFJC may use your personal information to detect and prevent crime and may disclose your information to the police and fraud prevention agencies where it suspects that you have or are going to commit a crime.

7. Use of Cookies

7.1 Cookies are text files which are placed on your computer's hard drive when you enter a website. The cookie does not identify the individual user of the website but collects data about how the computer is being used and records the areas of the website which have been visited.

7.2 The TB&TFJC uses cookies to 'remember' users online preferences and to store information about previous visits..

7.3 You may set up your computer to reject cookies. If you have set up your computer to disable cookies you may still access the Websites, however some services may not be available to you.

8. Access to your personal information

8.1 You have a right to access information held by TB&TFJC and to request the rectification of any information which is inaccurate.

8.2 If you would like to request a copy of your personal information, the procedure is [details of procedure]. The TB&TFJC is permitted to charge a fee of £10 and has 40 days in which to process your request.

8.3 The TB&TFJC reserves the right to refuse to comply with your request for disclosure where permitted by the Data Protection Act 1998 and reasons will be given for the refusal.
